Temporary Administrator Access

Sometimes you need to give someone admin access for a short while, like a media-center substitute or a summer helper, and it is easy to forget to turn that access off when they are done. Temporary administrator access lets you set an expiry date when you create or edit an account, and Manage1to1 ends that access on its own when the date passes.

Give an account an expiry date

  1. Go to Add Admin to create a new account, or open an existing one from View Admins.
  2. In the Identity & Access card, find Temporary access expires and pick a date.
  3. Save the account.

The Temporary access expires date field on the administrator form, with help text explaining that a blank field means a permanent account and a date ends access at the end of that day

The account works normally through the end of the day you choose. Leave the date blank for a permanent account, which is how every standard admin account behaves.

Setting an expiry needs the Administrators permission, the same one used to manage admin accounts.

What happens when access expires

When the date passes, the account loses access automatically. If the person is signed in, they are signed out the next time they load a page; if they try to sign in again, they see a message telling them their temporary access has expired and to ask an administrator to extend it. Overnight, Manage1to1 also deactivates the account so it drops out of your lists, pickers, and notifications.

See who is temporary at a glance

The administrator list has an Access Expires column:

  • Never means a permanent account.
  • Expires with a date, shown in yellow, means access ends on that upcoming date.
  • Expired with a date, shown in red, means the date has passed and access has ended.

Extend or make an account permanent

There is no separate extend button, you simply edit the account:

  • To give more time, change the Temporary access expires date to a later one.
  • To make the account permanent, clear the date.

If an account was already deactivated when its date passed, switch its account status back on while you are editing so the person can sign in again.
