A complete solution for managing physical spaces and mobile device programs. Track where devices are located, organize shared devices into carts, and manage equipment distribution across your district.

Rooms allow you to:

  • Assign devices to physical locations like labs, classrooms, libraries, and offices
  • Track which devices belong to each room
  • Quickly see room assignments when viewing device details

Dark Theme

A new dark theme option provides a comfortable viewing experience in low-light environments and reduces eye strain during extended use.

Three theme options are available:

  • Light — The classic Manage1to1 appearance
  • Dark — A dark color scheme for low-light environments
  • Auto (System) — Automatically matches your device or browser's light/dark mode setting

Switch themes from your profile settings, or use the quick toggle (sun/moon icon) in the navigation bar to cycle through options instantly.

Rapid Check-Out Enhancements

The Rapid Check-Out screen received significant upgrades to help you make faster, more informed checkout decisions. When you search for a user, you now see critical information at a glance:

  • AUP Status — Instantly see whether the user has signed their Acceptable Use Policy
  • Outstanding Device Fees — View any unpaid fees before checking out another device
  • Current Checkouts — See what devices the user already has checked out
  • Autocomplete Search — Start typing a name and matching users appear automatically — no more hunting through lists

These improvements help front desk staff and tech coordinators quickly identify issues before completing a checkout, reducing the back-and-forth of "wait, they haven't paid their fee yet" or "they already have a device."


Help Desk Metrics & Reporting

Gain visibility into your Help Desk performance with new metrics and reports. Track key indicators like:

Email Template Enhancements

CC and BCC Recipients — Email templates now support CC and BCC fields, allowing you to automatically copy additional recipients on outgoing emails. Perfect for keeping supervisors informed, sending copies to shared mailboxes, or maintaining records in external systems.

Device Checkout Notifications — Automatically notify users (and optionally their guardians) when a device is checked out to them. Great for 1:1 programs where you want confirmation that a device was issued.

Default Building Assignment

Administrators can now set a default building in their profile preferences. When set, all listing pages (Users, Devices, Invoices, Incidents, Rooms, Carts) automatically filter to show only records from your building.

This is a huge time-saver for building-level technicians and secretaries who primarily work with their own building's records. No more manually selecting your building filter on every page — it just works.

Asset Tag Formatting

New options for enforcing consistent asset tag formats across your inventory:

  • Minimum character length — Require asset tags to be at least a certain number of characters
  • Auto-padding — Automatically pad shorter asset tags with leading zeros to meet the minimum length

If your district uses numeric asset tags like "00001234" but users sometimes enter just "1234", auto-padding ensures consistency across your database without manual cleanup.

Google MDM Organizational Unit Sync

The Google MDM integration now pulls organizational unit (OU) information from your Google Admin console. See which OU each Chromebook belongs to directly in Manage1to1, helping you understand device distribution across your Google organizational structure without switching between systems.

Custom Ticket ID Formats

Each Help Desk department can now have its own ticket ID format. Instead of generic sequential numbers, create meaningful prefixes that help staff instantly identify ticket types:

  • IT-00001 for IT Support tickets
  • MAINT-00001 for Maintenance requests
  • MEDIA-00001 for Media Center inquiries

Custom formats make it easier to reference tickets in conversation and quickly understand what a ticket is about before even opening it.

Device Information on Invoices & Billing

Device details are now visible throughout the billing workflow:

  • Billing section — See which device is associated with a fee or charge
  • Invoice records — Device information displays on invoice detail pages
  • Invoice printouts — Device info appears on printed and emailed invoices

When a parent receives an invoice for a cracked screen, they can now see exactly which device (asset tag, serial number) the charge relates to — reducing confusion and support calls.

Admin-Only Help Desk Departments

You can now hide Help Desk departments from the public portal and restrict them to administrator access only. Use this for:

  • Internal IT departments that handle staff-only requests
  • Sensitive departments like HR or administration
  • Test departments during setup

Hidden departments won't appear in the portal dropdown, but administrators can still create and manage tickets in those departments from the admin interface.
