Send From Your Own Domain

By default, Manage1to1 sends your outbound email (invoices, receipts, and other family notices) from a domain that Manage1to1 shares across many districts. That works out of the box with nothing to configure.

You can go a step further and send from your own domain. When you do, your district builds its own email delivery reputation, completely separate from every other district. Your families also see your district's domain in the "From" address.

Why send from your own domain

  • Your reputation is your own. Mailbox providers such as Gmail and Yahoo decide whether to deliver email partly based on the sending domain's history. On the shared domain, that history is pooled across districts. On your own domain, only your district's sending affects it, so another district's email can never slow yours down.
  • Your district's name on every message. Email goes out from an address at your own domain.
  • No risk to your existing email. Manage1to1 uses a dedicated subdomain (for example mail.yourdistrict.org), kept completely separate from the domain your staff use for everyday email. Setting it up only adds a few new DNS records and never changes your existing ones.

What you'll need

  • Access to change DNS records for your district's domain (usually your IT team or whoever manages your website's domain).
  • A few minutes now, plus a short wait for DNS to take effect.

Setting it up

  1. Go to Settings and open your Mail Settings.
  2. Find the Your Own Sending Domain section.
  3. A suggested subdomain is filled in for you (for example mail.yourdistrict.org). You can keep it or change the first part. Select Set Up.
  4. Manage1to1 shows you a short list of DNS records to add. Give these to whoever manages your DNS, and have them add each record exactly as shown.

That's it on your side. Once the records are in place, Manage1to1 checks them automatically and switches your district over as soon as they're verified. This usually happens within about 15 minutes of the records going live, though DNS can occasionally take longer to update. You can also select Check Verification at any time to check right away.

After it's verified

Your Mail Settings will show the domain as Active, and Manage1to1 will begin sending your family email from your own domain. Nothing else changes for you or your families.

Removing it

If you ever want to switch back to the shared Manage1to1 domain, open the Your Own Sending Domain section and select Remove. Your email immediately goes back to being sent from the shared domain.

Give the records time

DNS changes are not always instant. If verification hasn't completed after you add the records, wait a little longer and check again. Manage1to1 keeps checking on its own in the background, so there's nothing you need to keep an eye on.
