Replacement Thresholds
Replacement Thresholds give your techs a heads-up when a user keeps losing or replacing the same thing. When a user reaches the limit you set, a warning appears on their profile and when you go to issue another device or accessory, so a repeat loss gets a second look before you hand over a replacement.
A classic example: a student has been issued three chargers this school year. The next time a tech opens that student's profile, or scans a device out to them, Manage1to1 shows a clear warning so the tech can confirm before issuing another.
Configuring thresholds requires the Manage Replacement Thresholds permission on your role. The warnings themselves show for any tech working a user's profile or a checkout.
How it works
Manage1to1 counts, per user, how many times each accessory or device type has been lost or replaced within a rolling window (for example, the last 12 months). When that count reaches the threshold you set, the warning appears.
You control two kinds of threshold:
- Accessories (chargers, styluses, cases, and anything else in your Accessory Catalog).
- Device types (each device model your district tracks).
For each, you set:
- Warn at a number of losses or replacements.
- Within a window of months.
Set Warn at to 0 to turn a warning off.
Setting your thresholds
- Go to Settings > Replacement Thresholds.
- Under Defaults, set a threshold that applies to all accessories and one that applies to all device types. These are the values used unless you set a more specific rule below.
- To treat a specific accessory or device type differently, find it in the Per-Accessory or Per-Device-Type list and enter its own Warn at count. Leave the count blank to keep using the default. This is handy for stricter limits on expensive items.
- Click Save Changes.
Out of the box, accessory warnings use a sensible default and device-type warnings are turned off (their default Warn at is 0). Set a device-type default or a per-type value when you're ready to start warning on device losses.
Where the warnings appear
- On the user profile. A warning banner appears near the user's accessories, naming what they've reached the threshold on (for example, "Charger (3 in 12 months)").
- At checkout. When you scan or select a device to check out to a user, a warning is shown before the checkout completes if that user is over a device-loss threshold. The tech acknowledges it and can still proceed.
The warnings never block an issue or checkout. They exist to prompt a quick review, and the tech always makes the final call.
What counts toward the threshold
A user's count for an accessory or device type includes:
- Items marked lost for that user within the window.
- Replacements issued to that user within the window (a replacement implies the previous one was lost).
Returned items and items still in the user's hands do not count as losses.
