Tracking AppleCare Coverage
This guide explains how to use the Apple School Manager integration to automatically track AppleCare warranty coverage for your Apple devices. When enabled, coverage dates are imported into Manage1to1 and appear as insurance records on each device.
Overview
Managing AppleCare coverage across hundreds or thousands of devices can be challenging. The Apple School Manager integration simplifies this by:
- Automatically importing AppleCare coverage dates from Apple
- Displaying coverage information on device profiles
- Providing reports on coverage status across your fleet
- Alerting you to devices with coverage expiring soon
Prerequisites
Before using AppleCare coverage tracking:
- Apple School Manager integration must be configured and active
- Sync AppleCare Coverage must be enabled in the integration settings
- Devices must exist in Manage1to1 with matching serial numbers
How Coverage Data Syncs
When the Apple School Manager sync runs:
- Manage1to1 queries Apple School Manager for device information
- For devices with AppleCare coverage, coverage details are retrieved
- Coverage data is saved as an Insurance record on the matching device
- Records are marked as synced from Apple (read-only)
Each sync updates existing records and creates new ones for devices that gained coverage since the last sync.
Viewing AppleCare Coverage
On the Device Profile
Navigate to any Apple device profile to see its coverage:
- Go to the device profile page
- Look for the Insurance section
- AppleCare coverage appears with:
- Coverage provider name
- Start date
- End date (expiration)
- A sync indicator showing it came from Apple School Manager
Across Your Fleet
To see coverage status across all devices:

Find the AppleCare Coverage Status chart showing:
- Devices with active coverage
- Devices with expired coverage
- Devices with no coverage

Understanding Synced Insurance Records
Insurance records created from Apple School Manager are special:

Synced AppleCare records are intentionally read-only to ensure the dates in Manage1to1 always match Apple's official records. This prevents accidental edits that could create discrepancies between your system and Apple's warranty database.
Using Coverage Reports
The Apple School Manager integration provides several reports for managing AppleCare:
AppleCare Expiring Soon
Find this report at Reports > View Reports > MDM Reports.
Shows devices with coverage expiring in the next 90 days. Use this report to:
- Plan AppleCare renewals
- Identify devices that may need extended coverage
- Budget for upcoming warranty expirations
Devices Without AppleCare
Shows devices in your inventory that have no AppleCare coverage. Use this report to:
- Identify devices that never had coverage
- Find devices where coverage has expired
- Prioritize which devices may need warranty protection
AppleCare Replacement History
Shows devices that have been replaced under AppleCare warranty. Use this to:
- Track warranty utilization
- Identify devices with multiple replacements
- Document repair history for auditing
Planning for Coverage Expiration
Use the coverage data to plan ahead:
Monthly review process:
- Run the "AppleCare Expiring Soon" report
- Identify devices expiring in the next 60-90 days
- Decide which devices warrant renewal
- Budget for renewals or replacements
Annual planning:
- Review the "AppleCare Coverage Status" statistics
- Calculate your coverage rate (covered vs. total devices)
- Analyze replacement history to understand warranty value
- Plan budget allocation for the coming year
Managing Coverage Without Apple School Manager Data
Not all AppleCare coverage information may be available in Apple School Manager. In these cases:
- You can manually add insurance records for coverage purchased outside ASM
- Manual records are fully editable
- Both synced and manual records appear together on the device profile
To add manual coverage:
- Navigate to the device profile
- Go to the Insurance section
- Select Add Insurance
- Enter the provider, start date, and end date
- Save the record
Troubleshooting
Coverage not appearing after sync
- Check serial number match - The device serial in Manage1to1 must exactly match Apple School Manager
- Verify coverage exists - Confirm the device has AppleCare in your Apple account
- Check sync setting - Ensure "Sync AppleCare Coverage" is enabled
- Wait for next sync - Coverage updates happen during scheduled syncs
Incorrect coverage dates
Synced coverage dates come directly from Apple. If dates appear incorrect:
- Verify the coverage in Apple School Manager or Apple Business Manager
- Contact Apple Support if the dates in Apple's system are wrong
- Once corrected in Apple's system, the next sync will update Manage1to1
Cannot edit a coverage record
If an insurance record shows a sync icon and cannot be edited, it was imported from Apple School Manager. This is by design.
If you need different dates:
- Update the information in Apple School Manager (if possible)
- Contact Apple Support for warranty corrections
- If Apple's data cannot be corrected, add a separate manual insurance record with notes explaining the discrepancy
Device shows both synced and manual insurance records
This is normal and expected. A device can have multiple insurance records from different sources. For example:
- AppleCare synced from Apple School Manager
- Third-party accidental damage protection added manually
Best Practices
Let Apple School Manager be the source of truth For AppleCare coverage, trust the synced data from Apple. Avoid creating duplicate manual records for the same coverage.
Run coverage reports quarterly Regularly review coverage status to catch expiring warranties before they lapse.
Document coverage decisions When you decide not to renew coverage on a device, add a note to the device profile explaining why. This helps with future audits and decision-making.
Track replacement patterns Devices with multiple AppleCare replacements may indicate underlying issues worth investigating, such as problematic models or usage patterns.
Budget based on real data Use the coverage reports and statistics to make data-driven budget decisions rather than estimating coverage needs.
